A school principal is usually buying one thing: fees that reconcile and parents who stop phoning the office. Watch the 17 admin screens this demo actually records, then read the two caption claims that have no screen behind them.

A screen title proves which area was opened. It does not prove that every workflow inside that area was tested. Start with one child and one fee instalment

Take a single student from enquiry to a paid second-term instalment and write down every person who touches the record. Who enters the admission? Who decides the concession for a sibling or a staff child? Who prints the receipt, and does the receipt number continue from your existing book? What happens when a cheque bounces in November? Who tells the class teacher that the child has moved from 6-A to 6-B? Those six answers scope a school system far more precisely than asking for something like the software the big chain schools use.

The same exercise tells you whether you need this at all. A school of 90 children with one clerk usually has a working system already: a register, a receipt book and a WhatsApp group. Software starts earning its price when the fee ledger stops reconciling by hand, when three people need the same student record at once, or when parents expect to pay online at ten at night instead of standing at the counter.

What the demo does not show

The video caption lists five capabilities: admissions and student records, fee collection with receipts, attendance and timetable, exam marks and report cards, and parent and teacher logins. Measured against the 17 recorded screens, two of those five have no supporting screen at all, and the remaining three show the administrative area rather than a finished piece of work.

  • Fee collection with receipts: no supporting screen. There is no fee structure, no fee head, no collection counter, no receipt, no invoice, no due list and no online payment anywhere in the recording. Expense Category records what the school spends, which is the opposite direction of money. Accountant is a staff role, not a ledger. For a majority of Indian schools this single workflow is why the purchase is being considered, so nothing on this page should be read as proof that it works.
  • Attendance and timetable: no supporting screen. The video is titled “Parent Logins to Attendance” and attendance is never marked on camera. No daily register, no period-wise register, no absent-parent alert, no timetable grid and no substitution arrangement appears. Class List, Subjects, Room list and Department are the ingredients a timetable is generated from, and all four are recorded, but the generated timetable is a different screen and it is not in this video.
  • Exam marks and report cards: partly supported. Offline Exam and Admit Card are real evidence of exam scheduling and hall tickets. Marks entry by a subject teacher, grade or percentage calculation, a printed report card and a board-format mark sheet are not demonstrated.
  • Admissions and student records: partly supported. The Student screen exists and student records clearly live in the system. An enquiry becoming an admission, a document upload, a transfer certificate from the previous school and an allotted roll number are not shown as one continuous flow.
  • Parent and teacher logins: partly supported. Parent, Teacher, Librarian, Accountant, Admin and User Roles are all recorded, so the accounts and permissions exist inside the admin panel. Nobody signs in as a parent or a teacher during the recording, and the parent-facing screen on a phone is never displayed.

Also absent, and specific to running a school in India: UDISE Plus data extraction, the RTE 25 percent quota register, transfer and bonafide certificates, the CBSE or ICSE or state board report card format, board registration and roll number uploads, transport routes and bus tracking, hostel rooms and mess, the mid-day meal register, sibling and staff fee concessions, cheque bounce handling, late fee rules, and biometric or RFID attendance hardware. Not one of those appears on screen. If any of them decides your purchase, write it into the scope as a named deliverable with an acceptance test. A menu entry is not evidence of a working feature, and a caption is not evidence of a screen.

Four decisions that change the quote

  1. How complicated is your fee structure, honestly? Term instalments, transport slabs by distance, sibling and staff concessions, RTE-funded seats, late fees, part payments and a receipt series your auditor already recognises. Every one of those is configuration work, none of it appears in this recording, and it is the commonest reason a school ERP project runs late.
  2. Which board, and what does the report card look like? A CBSE scholastic and co-scholastic card, an ICSE format and a state board card are different documents with different grade rules. Send the exact card you print today, front and back, and treat matching it as a milestone rather than an assumption.
  3. How is attendance actually captured? A class teacher on a phone, a biometric device at the gate, or RFID cards. Hardware means a device budget, a network at the gate and a sync failure plan. The demo shows none of this, so name the method before anyone quotes.
  4. What data moves in on day one? Current enrolment with photographs, the fee ledger mid-session, staff records, last year results and pending dues. Share the real files and the real volumes. Importing a clean student list is not the same job as carrying a half-finished fee year across.

When you should not buy this

  • You have fewer than about 150 students. Deployment from ₹1,00,000 plus monthly maintenance and parent messaging does not pay back on a small roll where one clerk already knows every family by name. Fix the fee register first and revisit this when the roll grows.
  • Fee collection is the whole reason you are buying. It is not in this recording. Do not treat this page or this video as evidence that fees work. Require a live demonstration of your own fee structure, with a receipt printed on your stationery, before any money changes hands.
  • You need attendance running from day one. No register is marked in the video despite the title. If a daily absent-parent alert is the outcome you are paying for, make it an acceptance condition and see it working with a real class.
  • You are a coaching institute or a single tuition teacher. The recorded screens describe departments, a library, rooms and class sections. You would be paying for structure you will never fill.
  • What you actually sell is online courses. Video lessons, quizzes and certificates are a different product. The learning management system demo is the honest comparison, and its limits are documented the same way.
  • Your real problem is staff salaries and leave. Teacher payroll, PF, ESI and leave balances are a payroll job. Look at the HR and payroll demo rather than expecting a school ERP to do it well.
  • Nobody in the office will own it. A school system fails when the fee clerk keeps the parallel register because nobody was trained. If no named person is accountable for the data from day one, the software will not fix the process.

Six acceptance tests to put in the quote

  1. Admit one test student end to end: enquiry, documents, roll number, section, and the parent account created against that child.
  2. Configure your real fee structure for that student, including one concession, collect a part payment, and print the receipt on your own stationery with your receipt number series.
  3. Mark a full class present and absent for one day, and confirm the absent parent receives whatever message you have specified.
  4. Generate the term timetable for one section and prove a clash is detected when the same teacher is booked twice.
  5. Enter marks for one subject, produce the report card in your board format, and check the grade calculation by hand.
  6. Log in as that parent on a phone and confirm they see their own child, the receipt, the attendance and the notice, and nothing belonging to another family.

Does the demo show attendance and timetable?

No, and this is worth stating plainly because the video title itself says attendance. No attendance register is marked and no timetable or period grid is generated on camera. Class List, Subjects, Room list and Department are the raw ingredients a timetable is built from, and they are all recorded, but a built timetable and a marked register are different screens and neither appears.
